Job Summary:

 

The Executive Administrative Assistant is accountable for broad-based, cross-functional operations support for the Business Law & Compliance Department. This role serves dual functions, providing both direct operations support to an assigned functional team for specific needs, as well as providing administrative support to the Senior Vice President (SVP) for common needs. The Executive Administrative Assistant must work to enable and empower the key functions of the department, which provides legal support for emerging high-risk areas.

 

Key Responsibilities:

  • Support the SVP with extensive calendar management, correspondences, travel, expenses, and other duties. In addition, support other team leaders with administrative responsibilities related to travel, team meetings and events, and other ad hoc initiatives.
  • Monitor and ensure accuracy of leadership calendar of key deliverables.
  • Coordinate and schedule meetings and events, prepare and obtain materials, and organize post-meeting tasks.
  • Collaborate with internal staff and business partners on leadership communications and objectives.
  • Maintain library resources and computer-related inventory and procure and distribute materials as needed.
  • Provide support on special projects as needed.

Supervisory Responsibilities:

This job does not have supervisory duties.

Education and Experience:

  • 4 year Bachelor’s Degree (Preferred).
  • 2-4 years experience working in an Executive Administrative/Administrative role (Preferred).
  • In lieu of the above education requirements, an equivalent combination of education and experience may be considered.

Certificates, Licenses, Registrations:

  • No Certification, License or Registration is required for the job.

Functional Skills:

  • Advanced computer skills including MS Office suite, Adobe Professional, Zoom, and other web-based applications. 
  • Advanced calendar management experience. 
  • Ability to anticipate needs before they arise and be proactive in a fast-paced environment.
  • Always demonstrates sound judgement and exercises discretion.
  • Resourceful self-starter who maintains a sense of urgency, knows how to multi-task, and can adapt quickly.
  • Effectively tackles diverse tasks and is efficient in navigating dynamic work environment.
  • Ability to reconcile expense reports.
  • Intermediate general researching, and advanced proofreading formatting skills.
  • Highly organized and detail-oriented with proven track record to identify, prioritize, and solve problems effectively.
  • Strong verbal and written communication and customer service skills. 
  • Ability to work in a hybrid work office environment, consisting of least 2 days per week (or as needed) in our Chicago, IL location.

Notes:

Compensation offered for this role is $50,000,00 - $80,000.00 per year and is based on experience and qualifications.
